Robotic Process Automation, or RPA, is one of the simplest ways for an industrial sales team to remove repetitive administrative work. Instead of asking salespeople to copy information between emails, spreadsheets, a CRM and an ERP, software robots can perform those steps automatically.

What is RPA for sales?

RPA is software that follows a predefined process across the tools a company already uses. In sales, it can open an email, download an attachment, copy customer or order data, enter it into a CRM or ERP, create a document and notify the right person.

The key point is simple: RPA does not need to replace the salesperson. It removes the repetitive clicks and data entry around the salesperson, so the commercial team can spend more time talking to customers, qualifying opportunities and negotiating.

A simple industrial sales automation example

Imagine a manufacturer receiving a customer purchase order by email. Today, a salesperson or sales administrator may open the PDF, copy the customer reference, products, quantities and delivery details, then recreate the order manually in SAP or another ERP.

With RPA, a robot can monitor the inbox, retrieve the order file, transfer the relevant information into the ERP, create the sales order and send a confirmation or flag an exception for human review. SAP itself documents this type of workflow for B2B sales order processing.

A real example: REHAU sales order automation

REHAU, an industrial manufacturer of polymer solutions, used automation to handle a growing volume of customer orders arriving through emails and faxes. The company started with standardised purchase orders and automated the extraction of order information and its entry into the ERP.

According to UiPath, REHAU has processed tens of thousands of orders through automation and saved significant manual processing time. The important lesson is not the technology itself: a repetitive, high-volume sales process with clear rules is often an excellent place to start with RPA.

RPA vs AI sales agents: what is the difference?

RPA and AI are often confused, but they solve different problems. RPA is strongest when the steps are known in advance: move this file, copy this field, update this system, generate this document. AI is more useful when the system has to interpret information, understand an email, classify a request or work with less structured data.

The two can also work together. An AI model can read an unstructured customer request and identify the relevant information, while RPA can take that information and execute the next steps across the CRM, ERP or quotation tools.

For Chinese industrial companies expanding internationally, this is especially relevant when sales teams manage growing volumes across different markets and systems. The best starting point is usually not to automate everything. Identify one repetitive sales workflow, measure the time spent on it, automate it simply, and keep humans responsible for relationships and important commercial decisions.
